Edit Mail Server Settings for Microsoft Exchange in Outlook 2016

Since the mail server of Microsoft Exchange for Outlook 2016 is automatically detected by the email client, there is no option to modify it. However, we came up with helpful procedures on how you can modify the exchange account.

Step 1. Do a backup of the email files. Though emails are stored in the server with Microsoft Exchange, it is still recommended to create a backup of the email files. Refer to the instructions on how you can export emails with Outlook 2016.

Step 2. Remove the email account from Outlook 2016.

  1. Click File.
  2. Select Account Settings (Add and remove account settings.)
  3. Select the Microsoft Exchange email account.
  4. Click Remove.
  5. You will be asked, “Do you want to continue?”; click Yes button.

However, if this is the main email address for your Outlook 2016 you won’t be able to remove it. Outlook requires you to add a different email address before you can proceed. Here’s a workaround.

  1. Go to your computer’s Control Panel.
  2. Search for Outlook 2016.
  3. Click Mail Microsoft Outlook 2016.
  4. In the Mail Setup – Outlook pop-up window, click Show Profiles.
  5. Select Outlook and click Remove.
  6. You will be asked, “Do you want to continue?”; click Yes button.

Step 3. Add the email account with Outlook 2016.

Step 1. Open Mac Mail. Click Mail and select Preferences.

Step 2. In the Accounts, select Exchange. You will notice that Internal Server and External Server are greyed-out. Click the Advanced tab.

Step 3.Uncheck the box ‘Automatically detect and maintain account settings’.

Step 4. Upon closing the Accounts window, click Save button.

Step 5. Open the Mail Preferences again. Internal Server and External Server should be modifiable.

Step 1. Go to Settings, Mail, Accounts.

Step 2. Select the exchange account.

Step 3. Tap the exchange email account.

Step 4. In the Account page, you can modify the mail settings.

Step 1. Access exchange account via browser http://portal.office.com to check emails, calendars and contacts are correctly synchronized.

Step 2. Remove email account from Android.

  1. Open Outlook from your Android phone.
  2. Tap the gear icon.
  3. Select the exchange email address for Office 365.
  4. Tap “DELETE ACCOUNT”.

Step 3. Add the email account in Outlook for Android.
