Learn how Transfers work
A Transfer captures a snapshot of your selected files or folders at the moment of creation. Recipients get access to that specific version—regardless of any later changes you make to the original files in Drive.
Transfers offer several useful features:
- Automatic expiry dates
- Password protection
- Recipient notes
- View and download tracking
- Separate storage for transferred content until the Transfer expires
Please note that recipients cannot browse folder structures within a Transfer.
Share vs. Transfer
Here is a quick comparison between using Share and Transfer:
| Share | Transfer | |
|---|---|---|
| Purpose | Ongoing access to files or folders | One-time copy of files or folders |
| Updates after sharing | Recipients always see latest version | Recipients see only the original snapshot |
| Storage usage | Uses existing Drive storage only |
Uses additional storage until expiry |
| Default expiry | No expiry by default | 30 days |
| Maximum expiry | No maximum | 90 days from creation |
| Tracking | Not available | Optional |
| Recipient folder navigation | Supported | Not supported |
| Notes to recipient | Not available | Supported |
- Use Share if you want recipients to always see the latest version.
- Use Transfer if you want recipients to have a temporary copy that stays unchanged.

- Upload files or folders using the upload button or by dragging and dropping them into the page.
- Configure the desired Transfer settings.
- Generate the Transfer link.
- Share the link with the recipients.
Uploaded content stays in storage until the Transfer expires or is removed.
How to create a Transfer while composing an email
When you attach files from Titan Drive in the email composer, the system might automatically create a Transfer link rather than attaching the files directly.
This usually occurs when:
- You select a folder.
- The file type is not supported as an email attachment.
- The total attachment size exceeds the current attachment limit of 30 MB.
- The email will display a Transfer link that looks like a standard attachment.

How to configure Transfer settings
You can customize the following settings before generating a Transfer link:
Expiry
Click the dropdown to set an expiry date.
- Expiry Options: Choose from 3, 7, 14, or 30 days, or set a custom expiry date.
- Default Expiry: If not specified, the Transfer defaults to 30 days.
- Maximum Expiry: The longest allowed expiry is 90 days from the creation date.
When a Transfer expires:
- The Transfer link becomes inactive, and recipients can no longer access the files.
- The storage space used by the transfer is automatically freed.
Password
You can enhance the security of your Transfer by protecting it with a password. Recipients must enter the correct password before they can access the transferred files.
- Password Length: Maximum of 20 characters
When copying a Transfer link:
- If no password is set, only the link is copied.
- If a password is set, the copied content includes both the link and the password.
Add Note
You can include a personal note for recipients when creating a Transfer. This note will appear on the recipient's landing page before they access the files.
Track Analysis
You can choose whether to track recipient engagement. Tracking can record:
- Link views
- File downloads
You must enable or disable tracking during Transfer creation. After the Transfer is created, the tracking preference cannot be changed.
Recipient perspective
The recipient journey varies depending on the settings configured for the transfer.
Landing page
If the Transfer includes a password and a note, recipients will first see a landing page where they can:
- Read the note
- Enter the password
Files page
Once recipients successfully open the Transfer, they will see the files where they can:
- Preview supported file types directly in the browser
- Download individual files or all files at once
Folder behaviour
Recipients can download folder contents included in a Transfer. However, they cannot navigate through folder structures in the way they can with shared folders.
Download limits
Download availability and usage limits may vary depending on the email subscription plan and applicable fair usage policies.
- Recipients can preview supported files without limits while the Transfer remains active.
- Every click on Download or Download All counts as a download
- Plan limits can be viewed in the Upgrade section of Titan Drive
- Maximum file upload size: 5 GB per file (on supported plans)
Recipient view of branded Transfers
When recipients open a Transfer, they may see your organisation's branding on the Transfer page, including:
- Your company logo
- Your company name
- A custom background color
- Links to your website or social media pages
If branding has not been configured, recipients will instead see standard Transfer details, such as the sender's information and the file size.
To learn more, refer to: How to customize branding in Titan Webmail
How to track Views and Downloads
With tracking enabled, you can view who has accessed the files and how they're interacting with the Transfer.
- Views: A view is recorded when a recipient successfully opens the Transfer page
- Downloads: A download is recorded when a recipient downloads an individual file or selects Download All.
Tracking helps you confirm whether recipients have accessed the files.
Storage and expiry explained
Transfers take up additional storage that is separate from the original files stored in Drive.
For example:
- If you create a 2 GB Transfer from content already stored in Drive, the Transfer uses an additional 2 GB of storage until it expires.
- Recipients can continue accessing Transfer files even if you delete the original files from Drive after creating the Transfer.
When the Transfer expires or is deleted:
- Transfer storage is automatically released.
- Files associated with the Transfer are removed automatically.
- Original files stored in Drive remain unchanged.
